Operations Manager
Role Summary
We're looking for a reliable, detail-oriented Operations Manager to oversee the administrative and operational functions of our boutique Reformer Pilates studio. This is a part-time contractor role, ideal for someone who is highly organized, proactive, and tech-comfortable-especially with studio software like Momence.
This person will help keep the studio running smoothly behind the scenes while also being the point of contact for managing calls, texts, and day-to-day operational flow. Strong communication and consistent reporting back to the owner are essential.

Key Responsibilities
Studio Operations (On-Site & Remote)

Open or check in on the studio (in person or virtually) to ensure it's clean, orderly, and running efficiently.

Oversee upkeep of Reformers and studio props-report any issues or coordinate repairs as needed.

Ensure cleanliness protocols and opening/closing checklists are followed daily by staff.

Monitor supply levels (cleaning products, paper goods, etc.) and handle reordering or pickups.

Keep a pulse on studio flow (e.g., class transitions, instructor needs, studio ambiance).
Administrative Management

Manage the studio's Momence platform:

Maintain and update class schedules.

Monitor client check-ins and resolve booking/payment issues.

Track expiring memberships or unused class packs.

Coordinate instructor schedules, substitutions, and last-minute changes.

Maintain accurate records of class attendance, cancellations, and instructor hours.

Submit weekly operational updates and studio performance summaries to the owner.
Client & Communication Handling

Manage the studio phone-respond to client texts, voicemails, and calls promptly and professionally.

Monitor and respond to messages through email and Momence platform as needed.

Communicate clearly with instructors and clients regarding schedule changes, cancellations, or studio policies.

Flag any client feedback, issues, or needs to the owner in a timely manner.
Reporting & Collaboration

Provide regular status updates to the studio owner (weekly minimum, more often if needed).

Maintain open communication on studio trends, client behavior, and operational needs.

Offer suggestions for improving studio systems, efficiency, or workflow as they arise.
Requirements:

Strong organizational and administrative skills.

Familiarity with Momence (or ability to learn it quickly).

Excellent communication-both written and verbal.

Comfortable managing phone calls, texts, and client inquiries with professionalism.

Able to work independently, follow through on tasks, and self-manage time efficiently.

Must be responsive, reliable, and proactive in checking in and reporting to the owner.

Previous experience in a studio, fitness, or client-service setting is a plus.

Hours: 7-10 hours per week (some flexibility; occasional weekend/evening check-ins may be required)

Location: Mix of on-site and remote work (must be able to access studio regularly)

Compensation: Hourly, commensurate with experience
